JET WORKPLACE DocumentServer

The JET WP DocumentServer is a key tool in document administration. It is frequently used for the integration of extremely diverse applications.

The JET WP DocumentServer enables all internal and external documents (e.g. office documents, CAD plans, e-mails and their related attachments, scanned documents etc.) to be brought together in one file, where they can be searched and archived.

The JET WP DocumentServer is also frequently used for integrating ERP, CRM and similar applications, as well as forming a central building block for enterprise-wide ECM (Enterprise Content Management). Data or documents can be viewed from a large range of applications and in any context. Nonetheless, all data is only ever stored once (single instance storage). For example, you can view an invoice from financial accounting which is linked to the account and to the key words relevant to the accountant, but viewed as a customer file it is embedded in a CRM context.

A basic feature of the JET WP DocumentServer is its full integration with Microsoft Office and Outlook. For instance, while working on a CRM contact it is possible to create documents based on arbitrary templates, e.g. letters or offers, which are then automatically stored in the CRM database. Regarding incoming documents, e.g. an e-mail, the user can decide whether to store it on a customer file or not, depending on its business relevance. If the answer is yes, because of the sender address the correct CRM contact will be proposed and the document automatically assigned keywords.

Examples of Use:

  • Customer file - Order file - Project file: administration of all documents like inquiries, offers, all resulting internal and external correspondence, e-mails, appropriate plans and outlines, delivery notes, invoices etc.
  • Document archiving in the ERP system (e.g. JET ORBIT):
    • invoices - electronic invoicing as required by law
    • delivery notes signed by the recipient
    • order confirmations
  • Purchasing documentation: quote requests, quotes, offers, orders, correspondence, de-livery notes, invoices.
  • Product description: calculations, pricing information, certificates of quality, drawings, approvals, certificates.
  • Contract files: correspondence, contracts, (insurance) policies, (official) notifications.
